Please note that we follow a predetermined timeline /schedule for each event. Any delays with ceremonies, photography, speeches, etc. resulting in us having to extend our set up, service, take down and/or departure times will be charged to the client and invoiced accordingly at our current staffing rates.
The staffing support fee is contingent upon a site inspection of your venue. It will be finalized after we have had an opportunity to visit your venue and determine your exact service requirements.
A 20% service charge is added to rental company and other supplier invoices when we provide those services.
A 15% gratuity and applicable taxes are added to menu and staffing prices.
To book Cottage Chef Catering for your event, we suggest that you first consult with us regarding your menu choices, service requirements and if applicable, party rental needs. There is no charge or obligation for initial consultations. You can contact us by phone at: 1-877-724-4488. Once we have determined your event requirements based upon consultations with you, we can provide you with a fairly accurate verbal estimate of the total cost for your event.
If our verbal estimate is acceptable, and you wish to book your event with us: A non-refundable $500.00 event reservation deposit on account, in the form of a currently dated cheque, is required to place your requested event date on hold.
If you are having Cottage Chef Catering provide party rental items for your event: A non-refundable $500.00 party rental deposit on account, in the form of a currently dated cheque is required to be remitted with your event reservation deposit. (see TEACUPS TO TENTS - COMPLETE PARTY RENTALS below)
Once we have received your event reservation deposit, (and party rental deposit, if applicable), we will prepare a Catering Agreement for your approval based upon our consultations with you. We will also arrange a mutually convenient date and time for a site inspection of your venue.
During the site inspection we will gather all information necessary to complete your Catering Agreement. Total pricing for your event will be contingent upon our site inspection of your venue. A finalized Catering Agreement will be ready for your approval within 7 days, subsequent to the site inspection.
A non-refundable $500.00 event confirmation deposit on account, in the form of a currently dated cheque, is required to be remitted with your dated and signed Catering Agreement. Once we have received your executed Catering Agreement and event confirmation deposit, your requested event date is booked and confirmed exclusively for you.
An event balance deposit on account, in the form of a cheque post-dated 60 days prior to your event, representing the balance of your account, is also required to be remitted with your executed Catering Agreement.
Short notice events (60 days or less) are required to be paid in full at the time of booking.
**Rental services are reserved for clients who purchase our on-site catering with staffing support. Once we have determined your party rental requirements based upon consultations with you, we can provide you with a fairly accurate verbal estimate of the total cost of party rentals for your event.
If our verbal estimate for rentals is acceptable and you wish us to procure party rentals on your behalf, we create a party rental requirements list (Schedule A) which forms part of your Agreement with Cottage Chef Catering. The schedule is an important part of the planning process, helping to make your event a success. A sizeable investment of our time and resources is expended creating a party rental requirements list for your event. The schedule details each rental item required for your event, with pricing, and the location where each item is to be placed within your venue. The schedule also specifies rental terms and conditions.
Procuring rental items requires us to liaise with your party rental company and/or other suppliers on multiple occasions prior to your event date in order to confirm rental availability, verify equipment and/or tent measurements, facilitate requested order changes, expedite delivery and receipt of your order, oversee the set- up of tents, lighting and a dance floor, if you have ordered one, and arrange for your order to be picked up. We add a 20% service charge to rental company, and other supplier invoices for providing these services on behalf of our clients.
Set up and take down of all rental items (other than tents, lighting and dance floor) are the client’s responsibility. Our staff can perform set up and take down of your rental items. The additional staff time required will be added to your staffing support fee. These arrangements must be made at the time you reserve your rental requirements with us.
We must be notified of booking cancellations in writing for the client to receive any refund.
If the client cancels their booking within 45 to 60 days prior to their scheduled event date, the client will receive a refund of one half of their event balance deposit. We will keep the remaining one half of the client’s event balance deposit for out of pocket expenses, purchases, staffing , party rentals , administrative costs and/or any other costs associated with the client’s event.
If the client cancels their booking within the remaining 44 day period prior to their scheduled event date, we do not provide any refund.
